Job description
Garden & Gun seeks an organized, hardworking, and detail-oriented individual intern to support the efforts of the Integrated Marketing department.
The Special Events Intern will directly support the Integrated Marketing team with the execution of event-related tasks including (but not limited to):
- Attend events as assigned by Integrated Marketing Staff (roles include, check in, vendor management, timeline management, gift/ premium distribution)
- Assist with management of RSVP/ Guest lists for specific events
- Maintain events chart along with Events Manager
- Prepare and print events chart for weekly status meeting
- Assist Project Managers and IM staff in travel bookings or reservations as related to an event
- Maintain a clear understanding of all event accounting codes
- Create and deploy all vendor agreements as assigned and APPROVED by each project manager (photography agreements, catering agreements, venue request, CC Authorization forms, etc)
- Work with Project Manager to create a RUN OF SHOW for each event (direction and management to be handled by PM on a per event basis)
- Source, order, and maintain in-house premiums alongside Marketing Coordinator
- Source materials for gift bags as assigned by project manager (if not part of in-house inventory)
- Ensure that gift bags are created and/or shipped out in a timely manner
- Ship materials in a timely and cost effective manner for events
- Maintain knowledge of IM supplies (i.e.: frames and other event materials)
- Proofread / check all event collateral
- Send out thank you gifts and guest postcards post-event in a timely manner
- Assist in answering of events@gardenandgun.com email account

- Must demonstrate ability to represent themselves and Garden & Gun well throughout an event and when communicating with clients and/or vendors throughout the planning process
- Proficient knowledge of Microsoft programs
- Ability and willingness to lift heavy boxes, organize materials, and transport collateral to and from events as needed
- Ideal (but not necessary) to have working knowledge of Adobe Creative Suite programs including InDesign and Photoshop
- Skilled handwriting for addressing envelopes and other event collateral
- Must be comfortable asking questions
- Understanding importance regarding deadlines
Requirements
- Available June – December 2017
- Must be 21 years of age
- At least 3 years college experience OR have other events related experience
- Must have a vehicle and license
- Personal laptop computer
