Position Description: The purpose of the position of Media Coordinator is to advance the effectiveness of member and public communications at TVMA through website and media support, content development, research and project management. This position supports the overall communications team at TVMA in implementing approved communication and public relations plans and by developing, maintaining and managing relevant website content and online services for users of the various websites managed by TVMA. This position also supports the marketing of the association to current and potential members. The specific duties of this position are listed below.
Duties Related to Website Operations:
- Manages and oversees TexVetPets.org website content, a pet health resource for the pet-owning public
- Establishes project management strategy for TexVetPets.org website to include content deadlines and managing contributors
- Recruits and retains contributors and peer-reviewers for TexVetPets.org
- Assists in researching, developing and creating new web content
- Keeps all content on all TVMA-managed websites current and error-free
- Builds and maintains a robust press room center on TVMA.org, providing a one-stop resource for reporters seeking information on animal and veterinary issues including fact sheets, FAQ, press kits and other materials
- Works with the Communications Team to continually improve the function and value of TexVetPets.org website and to add additional websites and videos as needed to address identified needs
- Responds as appropriate to all messages received through the general email account
- Maintains social media accounts including Twitter, Facebook, YouTube, Instagram and LinkedIn
- Assists the Communications Team in creating videocasts for members and the pet-owning public, posting them to YouTube and sharing them on all social media channels
- Helps members post classified ads to website
Duties Related to Public Information:
- Facilitates and responds to requests from radio, print and television reporters for quotes and comments on animal and veterinary-related news and special interest stories and puts the media in contact with TVMA’s veterinary member-experts
- Supports the Communications Team in producing TVMA print and electronic member publications as assigned, including online, copyediting and editorial support
- Schedules, researches, writes, edits and publishes news stories and releases for publication in newspapers and other publications, both in print and online, and follows up to determine if releases are printed or posted online
- Responsible for distributing press releases online as needed
Duties Related to Public Relations:
- Assists the Communications Team in the execution of all aspects of the annual Public Relations plan
- Assists the Communications Team in building and supporting a network of Veterinary Reporters appropriately trained and available to respond to media crisis situations
- Works with the TVMA Public Relations Committee and committee chairperson on all PR activities and TexVetPets.org website
- Assists in maintaining a press release calendar
- Serves as pet owners’ liaison, maintaining a relationship with the pet-owning public
Duties Related to Marketing:
- Creates mass communications for membership for marketing campaigns, including the development of videos and social media posts
- Assists in other ways necessary to market the association and its websites and programs to members, potential members and the public
Duties Related to Supporting Internal Customers:
- Contributes to meeting the print and publication needs of the Education and Meetings Department, the Operations and Development Department and others as assigned by the Director of Communications or Executive Director
- Provides staff support to TVMA meetings and conferences as assigned by the Director of Communications or Executive Director
- Supports the Communications Department in preparing budget requests, departmental reports and other general administrative duties as assigned
- Handles all other duties and responsibilities that the Communications Director, TVMA Editor or Executive Director may from time to time assign
- Provides support for all members of the staff in any areas necessary
Duties Related to TVMA Publications:
- Interviews members and contributes writing (including features, TexVetPets column, departments and statewide news), copyediting and proofreading to the Texas Veterinarian, TVMA’s bimonthly publication
- Compiles news links for The Source e-newsletter
- Corresponds with print advertisers for the Texas Veterinarian, ensuring they complete contract and send artwork on deadline
- Sends lists of classified ads and obituaries to Director of Communications
Duties Related to Advertising:
- Supports the contract renewal process for print and digital advertisers that run ads in the Texas Veterinarian, on the website and in The Source
- Maintains frequent communication with advertisers, ensuring they send contracts and artwork on deadline as well as pay their invoices
- Creates and sends invoices to print and digital advertisers using MemberSuite
- Keeps track of commission for print and digital advertisers with ongoing Excel Document
Duties Related to Professional Growth and Development:
- Develops a performance management plan each year for the approval of the Director of Communications and executes this plan throughout the year
Duties Related to Podcast?
- Identifies podcast guests, schedules and holds pre-interview conversations and interviews guests for Veterinary Vitals podcast
- Edits podcast using GarageBand, writing and recording an introduction, conclusion and narration as needed as well as incorporating music
Qualifications and Requirements:
- Education
- Bachelor’s degree in Communications, Public Relations, Journalism or related field is required
- Experience
- Experience in online content development, public relations and publications (professional, semi-professional or volunteer) supported by a portfolio of current work
- Experience managing web projects
- Experience with podcasts is a plus but not required
- Skills and Knowledge
- Basic knowledge and familiarity of desktop publishing software and competency in a Macintosh computer environment
- Strong proofreading, fact-checking and research skills demonstrated by previous experience
- Strong verbal, telephone and written communication skills
- Ability to deal with periods of high stress and to work against established deadlines
- Availability to work some evenings and weekends
- Ability to exercise diplomacy and use sound judgment in dealing with Association members, associate vendors and suppliers and the general public on the telephone and in person
- Ability to work within established performance standards, to establish program outcomes and planning objectives and to work toward these goals with minimal day-to-day supervision
