NEW PROCESS: Proactive Tracking of Speakers, Mentors, and External Engagements

We have been asked to improve advance awareness of the speakers, mentors, and external professionals who are engaging with our students—before they are scheduled to visit campus or participate in events. This is increasingly important for promotion, gift planning, accreditation reporting, and overall visibility of the outstanding engagement happening across the College.

The Reality (Bad News and Good News)

  • The bad news: In the School of Business, we host a lot of speakers, mentors, and events—far more than most people realize.

  • The good news: We already have a system in place and have been capturing this information after the fact. We are now shifting to collecting it proactively.

What We’re Asking You to Do

Going forward, please log speakers and events as soon as they are scheduled using the Microsoft Form below:

Event Information Submission Form – Fill out form

The form feeds directly into our existing tracking spreadsheet and captures:

  • Speaker/event details

  • Timing and location

  • Promotional needs (screens, announcements, etc.)

  • Gift considerations

  • Information needed for AACSB and internal reporting

Prefer a Simpler Option?

If this feels cumbersome—or if you manage many speakers or events (e.g., specialty programs, certificates, speaker series):

  • Simply email me your syllabus, calendar, or event schedule

  • I will have a student ambassador log everything into the spreadsheet for you

Why This Matters

Proactive tracking allows us to:

  • Promote events more effectively

  • Plan gifts and hospitality appropriately

  • Reduce last-minute scrambles

  • Accurately document engagement for accreditation and reporting

  • Showcase the full scope of industry connection happening in our classrooms

Thank you for helping us make this shift. The goal is not to add burden, but to make visible the exceptional work already happening—and to support you more effectively in the process.
